The Community Team collectively reports to the COO. This job is a mix of administrative management, community development, business development & sales, and facilities management (in a supporting capacity). Everything you do will be in the interest of creating and sustaining an authentic and thriving community and business. Everything.
The Community Team role
- Emulate Ikigai’s core values and strive to achieve our mission
- Create a welcoming and collaborative community environment amongst our members through daily interactions and events
- Ensure the location is fully operational and processes are running smoothly
- Drive growth and promotion of Ikigai’s service offerings including knowing our products inside & out
- Resolve members’ issues and troubleshoot technical equipment & internet issues, should they arise
Key responsibilities
Community & Member Management
- Ensuring an excellent experience for anyone who walks through our doors, from our members to delivery riders
- Greet and welcome guests and members at the location and cover the front desk during business hours
- Enroll new members and provide a thorough member onboarding experience including assisting with move-ins
- Solve member-related issues together with the location Community Team to ensure a cohesive community, including fielding requests submitted through the Ikigai member app
- Work on community initiatives designed to develop connections between members, including member introductions, event support, and email communication
- Support in organizing community events that create and enhance our members' businesses, lifestyles, and our membership offering
- Collaborate with and support the events team to ensure that all location events, meetings & conferences run smoothly
- Collect member feedback through informal conversations to continuously improve Ikigai’s offerings and spaces
- Renew memberships, generate new invoices, process payments, and follow up on collection of receivables from members
- Securely maintain member documentation and ensure confidentiality
- Manage the other 1000 little details that go into running a membership-based office
Sales & Business Development
- Schedule and conduct compelling tours of The Space for prospective members and non-member conferencing, focusing on the members’/non-members’ business and their needs
- Prepare and distribute tailored marketing materials to guests and potential members including customized proposals for private offices
- Track enquiries, walk-ins, tours, and other sales-related data, follow-up with leads, input data in the company’s CRM as appropriate and report during sales meetings
- Attain new memberships for the location including closing deals and preparing contracts
Facilities & Operations Management
- Manage the company postal mailbox and ensure that mail is regularly collected and delivered to members in a timely fashion
- Support the housekeeping team to maintain cleanliness of the workspaces
- Work with the location team to manage stock-taking and ordering of supplies and consumables, and report on expenses
- Assist the facilities team in building/site operations and maintenance to ensure highest level of member experience
- Identify issues for escalation, support resolution, and document accordingly

- Strong verbal and written communication skills
- Highly detail-oriented with expectational organizational & planning skills
- Excellent problem solving and solution-driven in your approach to overcoming challenges
- Strong interpersonal skills and able to strike up conversation & get along with anybody
- Strong proficiency with Microsoft Office applications (Excel, PowerPoint, Word)
- Demonstrates integrity, dependability, responsibility, accountability, self-awareness, work ethic, empathy, and professionalism

Education and experience
- Bachelor’s degree preferred but not required
- Customer service, hospitality, administrative, sales, and/or marketing experience a plus
- Passion for and experience with entrepreneurial communities a plus
